We are committed to safeguarding the privacy of our website visitors; in this policy we explain how we will treat your personal information according to GDPR regulations 2016/679 applied starting 25th of May 2018.

What type of personal information does IBSB collect

(b) information that you provide to us when registering with our website (including your email address, name, telephone number);
(c) information that you provide when completing an online application on our website (including your name, gender, date of birth, relationship status, interests and hobbies, educational details and employment details, medical information, address and similar information for members of your family and your children);
(d) information that you provide to us for the purpose of subscribing to our email notifications and/or newsletters (including your name and email address);
(e) information contained in or relating to any communication that you send to us or send through our website – contact us pages and forms website (including your email address, name, telephone number); and
(f) any other personal information that you choose to send to us.

Before you disclose to us the personal information of another person, you must obtain that person’s consent to both the disclosure and the processing of that personal information in accordance with this policy.

How does IBSB use your personal information

Personal information submitted to us through our website will be used for the purposes specified in this policy or on the relevant pages of the website.

We may use your personal information to:
(a) contact you via school office, our teachers or staff members;
(b) personalise our website for you;
(c) send statements, invoices and payment reminders to you, and collect payments from you;
(d) send you non-marketing commercial communications;
(e) send you email notifications that you have specifically requested;
(f) send you our email newsletter, if you have requested it (you can inform us at any time if you no longer want to receive the newsletter);
(g) send you marketing communications relating to our business or the businesses of carefully-selected third parties which we think may be of interest to you, by post or, where you have specifically agreed to this, by email or similar technology (you can inform us at any time if you no longer require marketing communications);
(h) provide third parties with statistical information about our users (only demographic general data such as primary age group of our website visitors or the most used device to open the website; those third parties will not be able to identify any individual user from that information);
(i) deal with enquiries and complaints made by or about you relating to our website; and
(j) keep our website secure and prevent fraud.

Personal information will not be published on the website, unless specifically required by you in certain cases.

Personal Information collected through Apply to IBSB online form

IBSB collects personal information through the Apply to IBSB online form; this information includes:

  • Student information such as name, date of birth, gender, home address
  • Parent and/or guardian details such as name, nationality, email, phone number, home address
  • Student medical details (medical history, certain medical diagnosis that could impact on their education)
  • Student Educational Needs (special needs, under therapy, psychological, emotional and behavioural difficulties)
  • Student Languages Experience and Knowledge
  • Student Educational History (specific information about schools attended)
  • Student Special Interest & Hobbies

Personal information and data collected through the Apply to IBSB online form is only use by IBSB admissions staff. No third parties have access to this information, unless required by the law. IBSB can use the personal information provided to:

  • Contact the parent and/or guardian by phone or email to request more information about the student or to book an appointment
  • Review the application by the Admission Committee
  • Request student information from schools mentioned in Student Educational History (such as references)
  • Drafting any enrollment documents useful for the face-to-face appointments

Medical data submitted in Student medical details and Student Educational Needs is required and processed by IBSB on the following legal grounds on the basis of European Union or national law: the school Medical Office is obliged to adapt to a special need of a student, being it a certain treatment or other type of support during school hours. Only the school Medical Office has access to personal information regarding a student’s medical details

The lawful basis for the processing operations we conduct with regard to the Personal Data

IBSB processes personal information based on one of the following legal grounds:

(a) the performance of the student contract, which consists of providing educational services,  as well as in order to take steps at your request for entering into the student contract

(b) the consent you have granted us, prior to any processing of the personal data, for:

  • the purpose of sending you our email notifications and/or newsletters;
  • sending you marketing communications relating to our business or the businesses of carefully-selected third parties which we think may be of interest to you, by post or, where you have specifically agreed to this, by email or similar technology;

(c) complying with a legal obligation that requires us to process your Personal Data;

(d) the performance of a task carried out in the public interest, considering that we provide educational services, regarded as a service of public interest, according to the Romanian applicable provisions on education, namely for issuing and storing academic records, evaluating students’ performance etc.;

(e) the legitimate interest pursued by us, in the following cases:

  • conducting fundraising activities, including marketing of such activities;
  • management, control, reporting and performing statistics on schools activity;
  • collaboration with other schools and educational institutions;
  • access to grants and other funding sources.

The processing of the special categories of personal data under the GDPR, respectively health data, is based on the following legal grounds:

  • the necessity of IBSB to process such data for the purpose of preventive and occupational medicine, medical diagnosis and the provision of health or social care or treatment on the basis of European Union or national law;
  • the processing is necessary for reasons of substantial public interest, on the basis of European Union or national law. This legal ground may be used especially in case the school Medical Office is obliged to adapt to a special need of a student, being it a certain treatment or other type of support during school hours.
Recipients of personal data and disclosing personal information

We may disclose your personal information to any of our employees, officers, insurers, professional advisers, agents, suppliers or subcontractors insofar as reasonably necessary for the purposes set out in this policy.

We may disclose your personal information to any member of our group of companies (this means our subsidiaries, our ultimate holding company and all its subsidiaries) insofar as reasonably necessary for the purposes set out in this policy.

We may disclose your personal information:
(a) to the extent that we are required to do so by law;
(b) in connection with any ongoing or prospective legal proceedings;
(c) in order to establish, exercise or defend our legal rights (including providing information to others for the purposes of fraud prevention and reducing credit risk);
(d) to any person who we reasonably believe may apply to a court or other competent authority for disclosure of that personal information where, in our reasonable opinion, such court or authority would be reasonably likely to order disclosure of that personal information.

Except as provided in this policy, we will not provide your personal information to third parties.

Retaining personal information

This Section sets out our data retention policies and procedure, which are designed to help ensure that we comply with our legal obligations in relation to the retention and deletion of personal information.

Personal information that we process for any purpose or purposes shall not be kept for longer than is necessary for that purpose or those purposes.

If you contact us vis the Apply to IBSB online form or the contact forms available on the website, your personal information will be stored by the School Office for further communication. If your children become IBSB Students, your personal information will be transferred under the student contract.

If by any means, IBSB was not able to proceed to the enrollment phase, the personal data collected from you will be held for a period of 3 years. You can, at any time, contact the school office at office@ibsb.ro and request that your personal information be deleted from out data base. In this case, you will no longer receive any emails, messages or calls from IBSB staff or partners.

Security of personal information

We will take reasonable technical and organisational precautions to prevent the loss, misuse or alteration of your personal information. We will store all the personal information you provide on our secure (password- and firewall-protected) servers. All electronic financial transactions entered through our website will be protected by encryption technology.

You acknowledge that the transmission of information over the internet is inherently insecure, and we cannot guarantee the security of data sent over the internet. You are responsible for keeping the password you use for accessing our website confidential; we will not ask you for your password (except when you log in to our website).

Amendments

We may update this policy from time to time by publishing a new version on our website.

You should check this page occasionally to ensure you agree with any changes to this policy.

Your rights

You may instruct us at any time not to process your personal information for marketing purposes.

In practice, you will usually either expressly agree in advance to our use of your personal information for marketing purposes, or we will provide you with an opportunity to opt out of the use of your personal information for marketing purposes.

Under the GDPR law, you have, at any given time, the following rights:

  • Access: you may instruct us to provide you with any personal information we hold about you.
  • Information: you can request certain information about your personal information handling such as: the purposes of processing, the categories of recipients the Personal Data are being disclosed to
  • Update and change: you can rectify any personal information stored by IBSB
  • Erase: you may request that your personal data is deleted from IBSB data base
  • Restriction: you can obtain a restriction for data processing by IBSB
  • Withdraw: you have the right to withdraw your consent
